No‑Show (Missed Appointment) Auto‑Cancellation in Conduit

Definitions

No‑show / Missed appointment: A scheduled appointment where the driver is over an hour late. This status is automatically triggered after the 1 hour mark.

Auto‑cancellation: A system action that cancels lingering no‑show appointments after a configured cutoff time and sends notification emails to the carrier/contacts.


How it works

  1. During the day: Appointments proceed as normal. If a driver arrives, staff must Check In and Check Out the load.

  2. At the configured time: Conduit scans the day’s schedule for appointments with no check‑in/out activity.

  3. Auto‑cancel: Those appointments are automatically canceled.

  4. Notify: Conduit emails the carrier/contacts (same contact set used for scheduling and check‑in/out notifications) that the appointment was canceled due to a no‑show and must be rescheduled.

  5. Rescheduling: The carrier books a new time; site staff may also create a new appointment as needed.

Key dependency: Correct check‑in/out activity. If a truck arrived but wasn’t processed in Conduit, the system may incorrectly auto‑cancel that appointment.

Steps:

  1. Toggle Enable no‑show auto‑cancellation → On.

  2. Set Cutoff Time:

    1. Choose how long after end of business day the no shows are cancelled.

    2. Example: Site closes 5:00 PM → set cutoff time to 6:00 PM (1 hour after close).

  3. Save.

Recommended Standard: Enable at all sites that want schedule hygiene and automatic carrier notification.

Who gets the auto‑cancel email?

The same contacts configured for scheduling/check‑in/out notifications for that customer/carrier.

Can Conduit automatically reschedule a no‑show?

Not today. The carrier must rebook (or site creates a new appointment).

What if we accidentally forgot to check-in a truck and it was auto-canceled?

Create a replacement appointment and communicate with the carrier. Reinforce Check In/Out training.
