Recommended Training & Transition
Switching your team to Conduit is easy. But what about getting your carriers, vendors, or customers onboard, too?
The good news is that most carriers prefer Conduit over any other process because of how easy it is. However, giving them a proper heads up is important.
Typically, customers who follow the process below see upwards of 90% of their carriers adapt to the new process on time and the other 10% follow in the week or two after.
Timeline: 10 days - 2 weeks prior to first inbound, begin sending notifications & trainings to carriers & vendors.
Day 1: Email
Subject Line: [Company Name] Announcement - Online Scheduling
Hello [Name]!
[Company Name] is transitioning to a new online scheduling tool (Conduit) starting on [Date]. The online portal is available for booking beginning today. Starting on [Date], loads that are not in Conduit will be [rejected/charged work in fees/etc].
To learn how to schedule:
Day 1: Update your email signature
Have everyone who works with schedulers update their signature to include:
Reminder: Starting 5/13, all appts must be booked on our online calendar [insert link].
Day 3: Second Email
Reply to your previous email reinforcing that any appts arriving on [Date] must be booked in advance on Conduit.
Hello! Bumping this email to remind everyone that on [Date], we will be shifting to a new online scheduling tool. Please take a moment to review trainings to learn how to schedule in Conduit:

Day 6: Third Email
Subject: Final Reminder - New Scheduling Software
Hello!
Reminder that [Company Name] is transitioning to a new online scheduling tool (Conduit) starting on [Date]. Starting on [Date], loads that are not in Conduit will be [rejected/charged work in fees/etc].

Day 10: Follow ups on Appointments Scheduled Outside of Conduit
At this point, most carriers should be scheduling through Conduit, but a few may still fall through the cracks. Any appointments that are requested via phone or email should be responded to with:
"Our process has changed. Please book on Conduit [Insert Link]. Thank you for your support during this transition"
Allowing people to operate outside of the system will encourage behavior outside of your standard process; your team is the number one defense in getting hold outs to use the platform effectively.
Day 11+: Follow up on Appointments
A small number of trucks will still show up without appointments. Be sure to add their arrivals into Conduit so that you can track which carriers aren't booking and then follow up with them at the end of the first or second week.
